Welcome to Ham Radio Prep! Whether you’re studying for your first Technician license, upgrading to General or Amateur Extra, or building your skills on the air, we want you to understand how we handle your information.

Ham Radio Prep is operated by World Radio League Inc. (“we,” “us,” or “our”). This Privacy Policy covers www.HamRadioPrep.com, our related mobile apps, courses, accounts, purchases, student support, exam scheduling, and examination administration services (collectively, the “Services”).

Ham Radio Prep and World Radio League are part of the same company, World Radio League Inc. This notice covers the Ham Radio Prep Services. A separate privacy notice may apply when you use the World Radio League logbook or another separately branded service.

If you have questions, contact us at [email protected].

2. Information We Collect

We collect information to help you study, save your progress, complete purchases, and participate in exam services. What we collect depends on the features you use. We identify required fields when collecting information; other details are optional.

Account and contact information

This may include your name, email address, login credentials, and phone number or mailing address when you provide them.

Purchase information

This may include products purchased, payment status, transaction identifiers, billing information, discounts, refunds, and related support history.

Payment providers, including Stripe and PayPal, process payment details under their own privacy notices. The information we receive depends on the payment method and may include transaction status and billing details.

Learning information

This may include course enrollment, lesson progress, practice question responses, quiz and practice exam scores, and completion records, depending on the course or feature you use.

Examination information

When you schedule or take an amateur radio examination through our Services, we may receive registration details, identity documents, FCC registration numbers, eligibility answers, examination results, and audio or video recordings associated with the examination process.

Communications

This includes messages, attachments, survey responses, feedback, and information you provide when contacting our team or participating in a promotion.

Technical and usage information

We and the providers we use may collect information such as:

  • IP address and approximate location inferred from it.

  • Browser, device, and operating system information.

  • Referring pages and pages viewed.

  • Interactions with lessons, account features, and other parts of the Services.

  • Dates, times, and duration of visits.

  • Cookie identifiers and advertising identifiers, where available.

  • Application errors, diagnostic information, and performance data.

Information from other sources

We may receive transaction updates from payment providers, campaign information from marketing providers, and information you authorize a connected service to send us. Optional third-party account connections are subject to the permissions you approve.

3. How We Use Information

We use personal information to support your ham radio learning journey and operate the Services, including to:

  • Create and manage your account.

  • Deliver courses and save your study progress.

  • Process purchases, payments, discounts, and refunds.

  • Send important account, purchase, security, and service messages.

  • Answer questions and provide student support.

  • Schedule and administer amateur radio examinations.

  • Understand how students use our lessons and tools.

  • Troubleshoot problems and improve the learning experience.

  • Send newsletters and promotional offers, subject to your choices and applicable law.

  • Measure advertising effectiveness and support relevant advertising.

  • Protect accounts, prevent fraud and misuse, maintain security, and enforce our agreements.

  • Comply with legal obligations and resolve disputes.

Examination records

We use examination information for identity verification, scheduling, administration, exam integrity, and related licensing requirements.

Access to examination records is limited to authorized personnel involved in administering your examination, on a need-to-know basis. Necessary technical providers may support storage and processing, subject to appropriate access restrictions.

Examination records are not used for advertising. Information may also be disclosed where necessary to comply with applicable licensing requirements or law.

4. Cookies, Analytics, and Other Technologies

We and our providers use cookies, pixels, tags, and similar technologies to operate the Services, remember preferences, understand usage, measure campaigns, and support advertising.

Email messages may use similar technologies to measure delivery and engagement.

Google Analytics

We use Google Analytics to understand how people find and use our Services. This helps us identify useful content, improve navigation, and understand how our courses and website perform.

FullStory

We use FullStory to analyze interactions with our Services, including through session replay. Depending on its configuration, FullStory may reconstruct browsing sessions using captured page content, clicks, scrolling, and other interactions.

This helps us understand where students encounter problems and improve the experience.

Sentry

We use Sentry to monitor application errors and performance. Depending on its configuration, Sentry may receive technical information about your device, application activity, and circumstances associated with an error.

Meta Pixel and Conversions API

We use Meta Pixel and Conversions API to measure advertising effectiveness and support related marketing features.

Meta Pixel sends events from your browser, while Conversions API sends events from our servers. Depending on the integration, these events may include visits, registrations, purchases, and associated identifiers.

These tools help us understand which campaigns introduce people to Ham Radio Prep and support relevant advertising.

Mailchimp

We use Mailchimp to manage and send newsletters, promotional messages, and other communications. Information processed may include contact details, communication preferences, and email engagement information.

Other supporting technologies

Depending on the feature you use, our Services may also use tag management, cloud hosting and storage, embedded maps and videos, externally served fonts, and optional social features.

These technologies and their providers may receive technical information when content loads or when you interact with a feature. Third-party privacy notices explain their practices.

Advertising disclosures

We do not provide customer lists to other companies for their own independent marketing.

However, advertising technologies can transmit personal information, and those disclosures may qualify as “sale,” “sharing,” or “targeted advertising” under applicable privacy laws, even when no money changes hands.

Browser controls alone may not stop events sent from our servers through Conversions API.

For additional information about cookies, please see our Cookie Policy.

5. How We Disclose Information

We disclose personal information as needed for the purposes described in this policy to the following categories of recipients.

Providers that help us operate the Services

These include providers supporting hosting, storage, account management, course delivery, payment processing, customer support, email delivery, analytics, diagnostics, security, and business operations.

They receive information needed for their services, subject to applicable contractual restrictions.

Analytics and marketing providers

These include Google Analytics, FullStory, Sentry, Meta, and Mailchimp, as described above.

Some providers may have independent responsibilities or uses under their terms and privacy notices. Their role depends on the product, configuration, and applicable agreements.

Authorized examination personnel

Examination information may be available to authorized personnel involved in administering your exam, on a need-to-know basis, and disclosed as necessary for applicable licensing requirements.

Services you choose to connect

We may disclose information to a third party when you ask us to connect your account, authorize an integration, or otherwise direct us to do so.

Legal, security, and professional purposes

We may disclose information to authorities, professional advisers, or other parties when reasonably necessary to:

  • Comply with law or legal process.

  • Protect rights, property, or safety.

  • Investigate or prevent fraud, misuse, or security incidents.

  • Enforce agreements or resolve disputes.

Business transactions

Information may be disclosed to a buyer, successor, or adviser in connection with a proposed or completed merger, acquisition, financing, restructuring, or sale of business assets, subject to applicable protections.

We do not sell customer lists or provide customer information to other companies for their own independent marketing. This does not mean that no information is transmitted through analytics or advertising technologies.

We may also disclose information at your direction or with your consent.

We may use and disclose aggregated or deidentified information that does not identify you. Where required by law, we maintain deidentified information in that form and do not attempt to reidentify it except as legally permitted.

6. Your Choices

Marketing emails

You can unsubscribe from promotional emails using the unsubscribe link in a message or by contacting [email protected].

Unsubscribing from promotions does not stop necessary account, purchase, security, or other nonpromotional messages.

Cookies and advertising

You can use browser settings to block or delete cookies and device settings to manage available advertising identifiers and permissions. Some browser extensions can also restrict tracking.

We do not currently provide an on-site cookie preference panel.

Available controls vary by browser and device and may affect how some features work. They do not necessarily stop all data collection or server-side disclosures.

Contact [email protected] about additional privacy requests.

Account information

You can update your details through available account settings or ask our team for help.

Notifications

If you enable browser or device notifications, you can turn them off through your browser or device settings.

7. Your Privacy Rights

Depending on your location and the law that applies to us, you may have rights to:

  • Confirm whether we process your personal information.

  • Access or obtain a copy of your information.

  • Correct inaccurate information.

  • Request deletion of your information.

  • Opt out of the sale or sharing of personal information or its use for targeted advertising.

  • Opt out of certain profiling that produces legal or similarly significant effects.

  • Restrict or object to certain processing.

  • Withdraw consent where processing relies on consent.

  • Limit certain uses or disclosures of sensitive personal information.

These rights are subject to applicable legal conditions and exceptions.

Submitting a request

Email [email protected] with the subject “Privacy Request” and describe your request.

We may request information reasonably necessary to verify your identity or an authorized agent’s authority. We do not require identity verification for opt-out requests where prohibited by law.

Please do not email passwords, Social Security numbers, or payment card details.

We respond within the periods required by applicable law and explain any permitted extension or denial.

Appeals

If applicable law provides an appeal right, you may appeal a denial by replying to our response with the subject “Privacy Appeal.” We will explain the outcome and any available complaint options.

We do not unlawfully discriminate against you for exercising your privacy rights.

8. Retention and Security

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including:

  • Providing access to purchased courses.

  • Maintaining accounts and learning records.

  • Supporting examination administration and related recordkeeping.

  • Meeting tax, accounting, and other legal obligations.

  • Resolving disputes and protecting our Services.

Retention depends on the type and sensitivity of the information, its purpose, the duration of our relationship with you, legal requirements, and legitimate operational needs.

Account and learning records may be needed while you have continuing course access. Transaction and examination records may have different legal or operational retention needs.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Young Learners and Parental Consent

We welcome the next generation of amateur radio operators.

Children must have a parent or guardian’s consent to use our Services. Parents and guardians should be involved in account registration, purchases, and exam arrangements.

We handle children’s personal information subject to applicable children’s privacy laws, including any requirements for parental notice and verifiable parental consent.

Parents and guardians can contact [email protected] to:

  • Ask about their child’s information.

  • Request access or correction.

  • Request deletion.

  • Ask that further collection stop.

We may verify the requester’s authority and explain any applicable legal recordkeeping limits.

10. International Users

Ham Radio Prep is based in the United States. Information may be processed in the United States and other countries where we or our providers operate. Those countries may have different privacy laws from your country.

Where European Economic Area, United Kingdom, or Swiss data protection law applies, World Radio League Inc. is the controller for the processing described in this policy.

Depending on the activity, the applicable legal basis may be:

  • Performing a contract with you.

  • Complying with a legal obligation.

  • Your consent.

  • Legitimate interests, such as securing the Services, assisting students, and improving course delivery, where those interests are not overridden by your rights.

Where processing relies on consent, you may withdraw that consent. Withdrawal does not affect the lawfulness of processing that occurred before withdrawal.

Where legally required, international transfers must be covered by an applicable adequacy decision, approved contractual safeguards, or another valid legal mechanism. Contact us for information about safeguards relevant to your information.

You may contact us about your rights or lodge a complaint with the competent data protection authority, including where you live, work, or believe an infringement occurred. You do not need to contact us first.

11. Links and Third-Party Services

Our Services may contain links, embedded videos, social media features, payment services, or other third-party content.

Those third parties may collect information under their own privacy notices. We encourage you to review those notices before providing information or using their services.

12. Changes to This Policy

As our courses and tools grow, we may update this policy.

We will post the revised policy with an updated effective date and provide additional notice or request consent when required by law. Continued use alone does not replace consent where consent is legally required.
